St Joseph’s African Aid (“SJAA”, “we”, “us”) is a UK-registered charity.

For the purposes of UK data protection law, SJAA is the Data Controller of the personal data described in this policy.

SJAA is exempt from registering with the Information Commissioner’s Office (ICO) because we:

  • only process information necessary to establish or maintain membership or support
  • only process information necessary to provide or administer activities for people who are members of the organisation or have regular contact with it; 
  • we only hold information about individuals whose data you need to process for this exempt purpose
  • the personal data we process is restricted to personal information that is necessary for this exempt purpose.

 

  1. What Personal Data We Collect

Donors and Supporters:
Name, postal address, email address, telephone number, donation history, Gift Aid declarations, payment confirmation details (processed via third-party providers).

Enquiries:
Name, contact details, correspondence content.

Website Data:
IP address, browser type, device information, usage data via Google Analytics.

We do not intentionally collect special category data.

 

  1. How We Use Personal Data

Administering donations, processing Gift Aid, issuing receipts, managing events, responding to enquiries, maintaining financial records, sending charity updates (where consent has been given), and improving our website.

 

  1. Lawful Basis for Processing

Contract – to process donations.
Legal obligation – to maintain financial records and process Gift Aid claims.
Legitimate interests – to administer the charity and respond to enquiries.
Consent – for marketing communications (which may be withdrawn at any time).

 

  1. Marketing Communications

We will only send marketing communications where you have given explicit consent or where otherwise permitted by law. You may unsubscribe at any time.

 

  1. Data Sharing

We do not sell or trade personal data.

We may share personal data with payment processors (e.g. PayPal), website hosting providers, professional advisers, HMRC (for Gift Aid), and regulatory authorities where legally required.

Third-party providers process data under contractual obligations.

 

  1. International Transfers

Some service providers may process data outside the UK. Where this occurs, appropriate safeguards are used, including UK-approved Standard Contractual Clauses or adequacy regulations.

SJAA does not routinely transfer donor personal data to Africa in connection with its grant-making activities.

 

  1. Data Retention

Financial and Gift Aid records: minimum 6 years.
Donor records: up to 6 years after last contact.
Marketing data: until consent is withdrawn.
Enquiry data: normally up to 2 years.

Data is securely deleted when no longer required.

 

  1. Children’s Data

SJAA does not directly collect personal data from children through its website.

Where SJAA supports school link activities, communications involving pupils are managed through the relevant schools. The schools remain responsible for safeguarding and pupil data protection compliance.

 

  1. Data Security

SJAA takes reasonable technical and organisational measures to protect personal data, including secure email systems, password-protected devices, restricted access to trustee-held data, and use of reputable third-party providers.

 

  1. Your Rights

Under UK GDPR, you have the right to access, rectify, erase, restrict or object to processing, request data portability (where applicable), and withdraw consent at any time.

You have the right to lodge a complaint with the Information Commissioner’s Office (www.ico.org.uk).
